Alcohol Consumption - Serving & Sampling
The consumption of alcohol within the halls during build-up and breakdown is not permitted. Alcoholic drinks will not be available from the catering outlets within the halls during these times.

Badges & Passes
No one be allowed access to the halls without registering, whether exhibitor, contractor, or visitor. This applies at each point of entry to the venue. During Build-up and Breakdown CDM Regulations include that everyone who needs to access the hall must have read and understood the Site Rules which will be sent closer to the event and confirmation that they have been read and understood is required before entry is permitted.

Once registered you will receive an email containing your badge. These must be printed out in advance and brought to the event. The registration system will be as contactless as possible so there will be limited facilities on-site to address any issues.
The badge will carry your name and company. Exhibitor badges give exhibitors free access during build-up, open and breakdown periods.
Remember to order badges for any temporary staff you are employing to work on your stand.
- Build-up & Breakdown e-badges (Contractor Passes)
Build-up & breakdown e-badges are valid only for the build-up and breakdown periods only. All contractor staff will need to register to have a build-up & breakdown e-badge. Access to the hall will require this e-badge or exhibitor badge. Click here to order to order build-up & breakdown e-badges. Please circulate as required.
To ensure your appointed contractor receives this link to register please complete the Contractor Nomination Form and we will liaise directly with them to register their staff.
Exhibitors must request build-up & breakdown e-badges for use by their own staff who will not be onsite during the Open Period.
- Vehicle Passes
These are for the use of exhibitors or contractors to identify vehicles during the build-up and breakdown periods. Please ensure they are on clear display to enable the Traffic Marshalls to direct you to the most convenient drop off point for your stand.
Each Exhibitor and Contractor will need to print their vehicle pass as required. To receive the vehicle pass you will need to complete the Vehicle Delivery Details Form which can be found in the Operations Zone within the Exhibitor Hub. Anyone wishing to access the loading bay will have to complete the Vehicle Delivery Details Form and have a Vehicle Pass to show onsite.
This pass DOES NOT entitle you to park.

Breakdown Procedures
Breakdown Period
Thursday 6 February 17:30 – 22:00 hrs
Friday 7 February 08:00 – 14:00 hrs (Space Only sites only)
- The exhibition closes at 17:00 hrs on Thursday 6 February. The hall will remain open until 22:00hrs. Last entry into the loading bay will be at 21:15hrs and it will close at 21.45hrs, please ensure all vehicles are out before this time.
- Under no circumstances may goods be removed from the Hall before the Exhibition closes.
- All portable exhibits, valuable items and any graphics or artwork required for future use should be cleared from the hall as soon as possible after 17:30 hrs on Thursday 6 February as this is a “high risk” time for security.
- ALL items must be removed from stands by 14:00hrs on Friday 7 February.
- We recommend that you do not leave your stand unattended during the breakdown period.
- Whist the Organisers take every precaution to ensure the safety of the Exhibition, they, nor any of their contractors can take responsibility for losses or damage that occur during the breakdown period.
- Power supplies to stands will be switched off 15 minutes after the close of the Exhibition.
- Security will be in operation in the hall, but exhibitors and their staff are advised to take every precaution in safeguarding exhibits and other valuables at all times during the breakdown.
Vehicle Access to Hall
- There is no parking on the roads surrounding the Business Design Centre; vehicles who attempt to park on these roads are likely to get a parking ticket.
- Transits and small vehicles will have access to the Loading Bay from 16:00hrs on Thursday 6 February.
- Larger vehicles will be allowed access, space permitting, from 19:00hrs. We ask that Exhibitors please be patient during this busy period.
- Goods must be packed and ready to load and stands must be de-rigged or dismantled before any attempt is made to bring vehicles onsite as this only causes unnecessary congestion and delays.
Car Parking
All vehicles entering the road system of the Business Design Centre should conform to all speed limits, road signs and instructions given by the BDC Traffic Marshals.
There is a car park located adjacent to the Business Design Centre, which has 250 spaces with ample reserved spaces for drivers with disabled passes. There is no free exhibitor car parking at the Business Design Centre. Please click 'Book Your Space Here', this will direct you to the booking page where you can input your arrival and exit times.
NB: If you wish to leave the car park every evening, you will need separate bookings. The system will not recognise you if you leave and want to come back on the same booking. Please note, this car park has a height restriction of 1.9m.
We would however still recommend that during the open period of the exhibition, exhibitors travel to the Business Design Centre by public transport wherever possible.
Build-up & Breakdown
During build-up and breakdown, the Vehicle Passes will enable you to load and unload only. If you want to park your car, you will still need to book and pay for the car park.
Catering Outlets
The official onsite caterer at the Business Design Centre is The Good Eating Company. Any other distribution of food and drink must be agreed by The Good Eating Company in writing well in advance and will involve corkage levies.

The Good Eating Company have put together some discounted beer/wine and snack packages that you may like to offer visitors during the more informal atmosphere of our evening events. You will find the discounted package offers highlighted in red on the order form. There is a restaurant located on the Gallery level which is open during build-up, open and breakdown.
Corkage Fees:
This is the charge placed on wines, beers, liquor and soft drinks brought into the venue that have been purchased elsewhere. Once you have paid the corkage fee on alcoholic drinks the Good Eating Company will become the licensee covering your stand and you will be briefed on the relevant licensing legislation.

Charity Donations
This year, the Surface Design Show has partnered with Furnishing Futures who create fully furnished homes for low-income families and women and children who have escaped domestic abuse. If you have anything you would like to donate, from chairs to artwork, lamps and rugs, please contact Furnishing Futures today or click here to find out more.
If it is your intention to allow another charity to collect donations within your stand area at the exhibition, you need to inform the Organisers, in writing at least 14 days prior to the event, of the full charity name, address and charity registration number.
Children
No one under the age of 16 is allowed into the exhibition hall during build-up or breakdown. There are no exceptions to this rule.
Cleaning
Daily cleaning is included within the cost of your stand. The cleaning team will clear rubbish during build-up and breakdown periods of the exhibition and will arrange for the disposal of reasonable levels of exhibition rubbish, however bulk rubbish should be removed from site. General rubbish should be placed each evening in the gangways and NOT left on the stand.
You and your contractor are responsible for removing and disposing of excessive waste from the exhibition hall. Waste materials (e.g. carpet, construction materials, packing cases, flooring, furniture and pallets) MUST NOT be abandoned onsite. The Organisers are not responsible for the clearing of such rubbish and will pass on any costs incurred to the contractor or exhibitor should any “dumping” occur.
Please note that the wholesale “dumping” of magazines and brochures at the end of the event will be charged for as this will incur skip costs from the venue. Please take them away with you.
All exhibitors should be aware that if they have a locked area on the stand - office or kitchen – that requires cleaning or are using a night sheet they must arrive with plenty of time in the morning to request the cleaning team to clean your stand prior to the show opening.
Cloakroom
A cloakroom service is provided during the exhibition open days in the main lobby on the ground floor and one downstairs. This opens 30 minutes before and closes 30 minutes after the official open hours of the exhibition. There is a charge of £2 per item, card payment only.
Code of Practice
During the open period please ensure your stand is manned throughout the day and all exhibits remain on display during the published open hours. In order that no discourtesy is shown to last minute visitors, we ask that no dismantling of any displays or exhibits commences before 17:30hrs on Thursday 6 February.
Congestion Charge / Low Emissions Zone
Congestion Charging:
Whilst the Business Design Centre is not situated within the London congestion charging zone, it does sit on the edge and you are advised to take care when navigating through the surrounding roads. You can view a map of the zone and boundaries at www.cclondon.com

You only need to pay once, no matter how many times you drive in and out of the Congestion Charge zone on the same day.
Some key details:
- The Congestion Charge applies between 07:00-18:00 Monday-Friday, and 12:00-18:00 Saturday-Sunday.
- You can pay in advance, on the day of travel or by midnight the following charging day. The daily charge is £15.00 if you pay in advance or on the same day, or £17.50 if paid by midnight of the third day after travel.
- If you don't pay by midnight on the charging day after you drove in the zone, you'll get a Penalty Charge Notice (PCN).
- You can pay the congestion charge online, by auto pay or by telephone.
- If you do not pay the Congestion Charge you will be sent a fine for £180.
- Most disabled drivers are exempt from the Congestion Charge, as are motorbikes, mopeds and bicycles.
- Certain vehicles qualify for an Ultra-Low Emissions Discount (ULED).

ULEZ:
To help improve air quality, an Ultra-Low Emission Zone (ULEZ) operates 24 hours a day, 7 days a week, every day of the year, except Christmas Day, within the same area of central London as the Congestion Charge. Most vehicles, including cars and vans, need to meet the ULEZ emissions standards or their drivers must pay a daily charge to drive within the zone:
- £12.50 for most vehicle types, including cars, motorcycles and vans (up to and including 3.5 tonnes)
- Lorries, vans and specialist heavy vehicles (all over 3.5 tonnes), and buses, minibuses and coaches (all over 5 tonnes) do not need to pay the daily ULEZ charge.

Customs Clearance
During the Exhibition, the Business Design Centre is within the scope of the Temporary Importation (Goods for Exhibition) Regulations.
For clearance of goods/exhibits through customs, you may contact DSV who will be able to help you. They can provide a complete package for the transportation of goods, which includes clearance, temporary import bonds, processing of ATA Carnets and re-exportation documentation. They can also give free advice on all aspects of import procedures and will provide you with a quotation on request.

Delivery of Goods
Please ensure that a representative of your company is onsite to receive and sign for deliveries. The Organisers are unable to sign for goods on your behalf. This is particularly relevant if you should decide to use a courier to deliver goods, who will often not leave them unless they have a signature.
If any deliveries arrive before the first day of tenancy Saturday 1 February at 0800hrs, they will be turned away and may not be re-delivered in time for the show open.
If you are making deliveries during the open days of the exhibition, these can only be made between 0900 - 1000hrs, before the exhibition opens. Hand carry-able items can be delivered any time.
Please note the Organisers and the BDC cannot take responsibility for any deliveries.
Delivery of Goods – Vehicle Access
In order to improve and speed up access to the halls during build-up we will be producing a Delivery Schedule. It is essential that if you intend to deliver or unload during build-up, you must fill in the Vehicle Delivery Details Form with your requirements. We cannot guarantee that you will be given the exact delivery slot you have requested but it will be as close as possible. Queuing and parking close to the Business Design Centre is very difficult and producing and working with a delivery schedule should ensure quicker access for all concerned.
IMPORTANT NOTICE: FORKLIFTING WILL ONLY BE AVAILABLE ON SATURDAY 1 FEBRUARY
There are 2 goods lifts available for use by exhibitors during the show for the delivery of stand materials and exhibits.
- Gallery Hall Goods Lift (in the middle of the mezzanine hall) – Capacity: 3000kg
Size: 5500mm (deep) x 2550mm (wide) x 2500mm (height)
Please note this one has to be moved around a corner.
- Main Hall Goods Lift (by the loading bay) – Capacity: 3000kg
Size: 3900mm (deep) x 1900m (wide) x 1900mm (height)
There is a possibility another show may take place at the same time as the Surface Design Show so it may not be possible to use the larger lift at all times as it may need to be shared with the other event.
The smaller of the two lifts is a more direct route into the hall on the Mezzanine Level, however the corridor leading from the larger lift onto the Mezzanine Level is narrower and at a slight angle so a site visit is strongly recommended for large pieces of exhibition material which needs to come through this entrance.
There is no direct access to the halls for vehicles so you will need to have facilities (e.g. trolleys) to get items from vehicles to your stand. It is compulsory for all exhibitors and contractors to wear a hi-visibility vest when using the loading bay or the front forecourt when loading and off-loading at the Business Design Centre. Vests can no longer be purchased from the Building Design Centre, so exhibitors and contractors need to bring their own.
If you have any unusual or heavy objects, or hazardous items to display please let us know so that we can schedule their access into the halls.
During build-up and breakdown access to the venue will be granted with Exhibitor Badges and Build-Up & Breakdown e-badges only. Your commercial and private vehicle should respect any instruction given by our traffic marshalling team.
Delivery of Goods – Freight Forwarding
If you are not bringing your products to the venue yourself, the Organisers recommend that you use the services of DSV, especially if sending goods from overseas.

How this works:
- Contact DSV Solutions; agree to send goods to their warehouse prior to build-up (transport deadline Monday 20th January).
- Agree with DSV when you would like it delivered to your stand, organising a forklift at the same time if required.
- Your goods will be delivered when you want, no waiting around, no possibility of it being delivered too early and going missing, no possibility of it being delivered too late and spoiling your show.

Dilapidations / Damage to Hall
Please remember that you are responsible for making good any damage caused to the fabric of the exhibition buildings – by you, your agents or contractors. It is in your own interest to satisfy yourself as to the condition of your stand site before the building of your stand and after its clearance.
*Important Notice for Traditional Walling Exhibitors*
Some fixing methods are not permitted so please contact the BDC for advice, an information sheet detailing acceptable fixtures is available upon request. Pins, nails, screws and mirror plates may be used to hang exhibits but should exhibitors plan to hang anything heavy (over 5kg), please contact the BDC. Double-sided sticky tape, Velcro, cavity fixings or rawlplugs may NOT be used to attach exhibits or graphics on Traditional panels.
If any damage occurs to panels the Business Design Centre will charge the stand holder the full panel price.
If you wish to paint the panels yourself, there is a dilapidation charge and only water-based paints may be used. However, if you arrange for the painting of panels through the BDC then this charge is incorporated into the cost. Please contact ops.sds@montgomerygroup.com for more information.
Disabled Access
The Business Design Centre, as a venue, is well served for the disabled visitor and exhibitor. The front of the building is ramped, enabling easy access with a lift to all floors. There are disabled toilets on all levels within stairwell B and on the Gallery level in stairwell F.
Each stand holder is responsible for making sure that all their services and products can be equally demonstrated to a disabled body person as to an able bodied person. Wheelchairs are available on loan, however numbers are limited so please call +44 (0) 207 288 6272 in advance to pre-book.
Door Size
The average door size at the Building Design Centre is 1.408m (width) x 1.900m (height). Additional door measurements can be seen below. However, if you have a particularly large item a site visit is highly recommended.

Discrimination
The Equality Act 2010 meaning of ‘disability’ is ‘a person that ‘has a physical or mental impairment which has a ‘substantial’ and ‘long-term’ negative effect on your ability to do normal daily activities.’
Discrimination is when a person with a disability is treated less favourably than others would be treated and that this treatment in question relates directly to their disability and it cannot be justified. Please note that it is unlawful to discriminate against a disabled person in refusing to provide, or deliberately not providing, to the disabled person any service which is offered or provided to other non-disabled persons. This also relates to the standard of service which is provided to the disabled person or the manner in which it is given.
Stands must be designed in a way as to not discriminate against disabled visitors; this would include, among other things, access to displays, literature, hospitality areas and meeting rooms.

Filming
If you arrange for any filming on your stand, you must inform the organisers as there are regulations which will need to be followed.

If first aid is required, please contact the BDC Reception Desk by using any internal telephone and dialling 6666 (internal) or the First Aid Room directly by dialling 6205 (internal) or +44 (0)207 288 6205 (External) or contact the Organisers Office, providing them with as much detail as possible e.g. exact location and nature of medical emergency.

Gangways
Emergency gangways will be in operation during the build-up and breakdown of the exhibition. These must remain completely clear at all times. A detailed plan of which gangways are affected will be issued prior to the show.
During the Open Period under no circumstances should any part of your stand, furniture, or exhibits etc. project beyond the boundary of your stand. Exhibitors should only work within the confines of their stand. Doors or windows must open outwards onto a gangway.
The exhibitor should not engage in any activity or employ any person or device that tends to create unreasonable congestion in the gangways in the opinion of the Organisers.
Gratuities
Neither Business Design Centre staff nor contractors’ personnel are permitted to accept gratuities for services rendered or service to be rendered. Please notify the Organisers if any personnel solicit gratuities.

Insurance
Stand contracts with Montgomery Group require all exhibitors to have a minimum level of insurance cover of £5 million (or equivalent) in order to participate at the show.
Please note that, as the main contracted stand-holder, you are responsible for any loss, damages, claims, etc. arising out of your stand and the activities of any stand-sharers at the Exhibition.
If there are other Companies sharing your stand, it is in your interest to ensure that they too hold adequate insurance cover. Further details are found in the terms and conditions on your contract.

Licences (PPL & PRS)
If you intend to play pre-recorded background music or have live music on your stand during the course of the exhibition, you are required, by law, to obtain music licenses. Please visit https://pplprs.co.uk/business/other/.
Lost Property
All lost property during the show should be handed into the Organisers Office which is located on the Mezzanine level. If not claimed by the end of the show, any lost property will be handed over to the venue and held for up to three months, all claims should be made to concierge on 0207 288 6475. Please note that any goods left on site after this period without proper authority will be treated as abandoned and disposed of accordingly. Any costs incurred for the disposal will be charged to the exhibitor.
Noise
Exhibitors showing films, creating excessive noise or using audio visual aids that disturb adjacent exhibitors will be asked to reduce the sound to an acceptable level (a maximum of 60dB at the edge of your stand). If this is not complied to the satisfaction of the Organisers, they will be asked to cease such activities in the interest of the overall exhibition.

Photocopying facilities are available from the Organisers’ Office, but for printing or other reprographics there is a reprographics show room where you will be charged.
Payments
Any payments made onsite are required to be made directly to the relevant contractor help desk.
Security
Security will begin at 0800hrs on Saturday 1 February. Exhibition halls are vulnerable places, particularly during the build-up and breakdown periods. Please take a few moments to consider how you can look after your products and belongings whilst onsite.
Security advice for exhibitors
- Do not leave cash, handbags, mobile phones, valuables, etc. in unlocked drawers, cupboards or on exhibits on the stand. Do not leave wallets or purses in unattended jackets or coats.
- Night sheets are available for shell scheme stands from Full Circle. These provide a see-through netting barrier that leaves the contents of the stand on view at all times, deterring the opportunist thief.
- Do not ask neighbours to look after the stand, as they may get too busy with their own.
- Exhibitors should arrive prior to the official opening time and not leave their exhibition stand at night before all visitors are clear of the show.
- Check all lockable desks and cupboards before leaving the stand.
- Never leave the stand unattended.
- Any exhibitor with small valuables, which they wish to leave on the stand, should provide themselves with a lockable cabinet or other safe storage area.
- Do not lock goods away in hired cabinets on breakdown evening. The furniture contractor will be collecting these items on Tuesday evening.
- Any exhibitor wishing to change their stand exhibits during the open period must do so between 0900 and 1000 daily. Contractor or exhibitor passes will be required for this period.
- Please note that build-up and breakdown days are high-risk periods. Ensure the stand is manned at all times. Do not leave the stand unattended to get your vehicle.
- Please report anything of a suspicious nature immediately to the Organisers Office onsite.
- Please do not hesitate to check with the Organisers on any security problems or queries.
- If you find something is missing notify the Organisers Office and the Security department immediately, giving all relevant information.
Special Exhibits or Activities
Please note any company intending to exhibit the following: any engine driven vehicle, balloons, water features, or have activities on the stand not previously covered in this manual, must advise the Organisers in writing as special rules and regulations and licensing arrangements may apply.
For example, balloons may be used as part of the stand display. However, the topside of the inflated balloon cannot exceed the stand build height limit of 4m, neither should it any time be released into the roof. Exhibitors are liable for any charges incurred if a balloon needs to be retrieved, or to rectify any damage caused by loose balloons.
Storage (Packaging)
If you wish to store packing cases for the duration of the exhibition contact our freight forwarding agent – DSV.
On no account should exhibitors store product or empty packing cases behind their stands as this presents a fire risk. Offending items are liable to be removed and destroyed without warning. All product storage, for the duration of the show, should be contained within the stand area. Alternatively, exhibitors can re-stock their stand each morning between 0900 and 1000 hrs.
We are not able to offer accessible secure product storage for the open period of the exhibition.
Sustainability
Everyone is talking about ‘Going Green’ and becoming a sustainable business, but what are people actually doing about it? Beginning to ‘Green’ your stand is easier than you think and all you have to do is start thinking and then practicing the 3 R’s:
REDUCE RE-USE RECYCLE
REDUCE the amount of production and disposal materials involved in your stand build and displays in order to reduce/ eliminate waste. If you cannot REDUCE it, then when you are done, can it be RE-USED? As a final option, can it be RECYCLED?

Tool Kit/Hygiene Box
It is useful to have a box on-site where you store of the useful bits and pieces that can easily be forgotten. This should include thing to help with the dressing of your stand such as scissors, Velcro, double sided, sticky tape, rubbish bags etc. You should also include other items that are useful for any coronavirus measures such as anti-bacterial spray / wipes, disposable masks etc.
PLEASE NOTE: Trolleys are NOT available to hire onsite so we would recommend bringing your own.
Travel to the BDC
It is quicker and easier to travel to the Business Design Centre by public transport.
- Air Travel
London is well served by airports and you can get train or taxis directly from them: www.visitlondon.com/traveller-information/travel-to-london/airport
- Car
From central London follow the A1 out of the City towards Islington. After crossing Pentonville Road you are on Upper Street and the Centre is to the left at Islington Green – it’s where Essex Road and Upper Street diverge. From outside London follow the A1 down the Holloway Road and into Upper Street.
- London Underground
A regular underground train service (Northern line) runs to and from Angel station, which is a 2 minute walk from the Business Design Centre along Upper Street. Alternatively, Highbury & Islington station (Victoria line) is a 10-15 minute walk or Kings Cross is a 20 minute walk to the venue.
- Taxis
Black cabs can be hailed on Upper Street and will drop off at the main entrance to the show. The Concierge Service will book you a taxi from the venue. Please contact the front desk on +44 (0)207 288 6272 for further information.
- Trains
Euston, Kings Cross and St Pancras stations are all nearby from which you can get a taxi or take the underground to the venue.
Vehicle Entrances
There are two vehicle entrances at the Business Design Centre: Stairwell E next to the main entrance at the front of the building and the loading bay on Liverpool Street. You will be advised of the appropriate entrance for your vehicle by the organisers in due course and instructed by our traffic marshals onsite.

Waste Disposal
All stands, gangways and common areas within the exhibition hall will be cleaned each day, prior to show open.
Rubbish should be placed each evening in the gangways and NOT left on the stand.
If the activities on your stand mean that you will produce a large amount of waste that needs to be removed regularly throughout the day, please contact the cleaning contractor direct to obtain a quotation for these services. To order, please contact the Venue Services Coordinator.
Wi-Fi
The BDC provides free, unsupported Wi-Fi.
